Privacy Policy

Last updated: 16 May 2026

1. About this policy

This privacy notice explains how Pioneering Independence Ltd (“we”, “us”, “our”) collects, uses and protects personal information when you use our website at pioneeringindependence.com or get in touch with us.

Detailed processing of personal data relating to the people we support is governed by separate care-plan agreements, support-plan documents and individual consent forms shared at the start of a service. This notice does not replace those documents.

2. Who we are

Pioneering Independence Ltd is a CQC-registered supported-living provider based in Plymouth, UK.

  • Address: Unit 140, City Business Park, Somerset Place, Stoke, Plymouth, PL3 4BB
  • Email: [email protected]
  • Phone: 01752 562694

We are the “data controller” for the personal data described in this policy. If you have any privacy-related questions, write to the address above marked “Data Protection” or email us directly.

3. What information we collect

When you contact us through the website

The contact form opens your email app with a pre-filled message to [email protected]. We see whatever you type, plus your email address. We use this only to reply to your enquiry.

When you apply for a role

Most vacancies are posted on Indeed. If you apply via Indeed, your application reaches us through their platform under their privacy terms. You can also email a CV directly to [email protected] — in which case we hold your CV and covering note for the duration of recruitment and up to six months afterwards if we want to keep you in mind for future roles. You can ask us to delete it sooner.

When you view embedded maps or calendars

The Contact page can show a Google Map and the Calendar page can show a Google Calendar. Both load only after you’ve clicked “Accept all” or “Allow embeds”. When loaded, Google receives standard request information (IP address, browser) and may set its own cookies under Google’s privacy terms.

Cookies

See our cookie policy for the full list. The site uses one cookie that records your consent decision, plus standard WordPress session cookies if you log in to the admin area.

4. Lawful basis for processing

  • Replying to your enquiry — legitimate interest in running our business and corresponding with people who contact us.
  • Recruitment — taking steps prior to entering into a contract of employment.
  • Cookies and embeds — your consent, which you can withdraw at any time using the “Cookie preferences” link in the footer.

5. Who we share information with

We don’t sell your personal data. We share it only with:

  • Our IT and hosting providers — Rouic Ltd hosts this website and our email; Carerealm and RotaCloud are used by our staff (not by website visitors).
  • Google — when you choose to load the embedded Map or Calendar.
  • Indeed — when you apply for a role through their site.
  • Authorities — where we are required to by law (HMRC, the CQC, local authority safeguarding teams). This generally applies to employee or service-user data, not website visitor data.

6. How long we keep information

  • Email enquiries: until the conversation has concluded, plus up to two years for reference.
  • Job applications: for the duration of recruitment, plus up to six months unless you ask us to delete sooner.
  • Consent records (the cookie storing your accept/reject choice): up to 12 months in your browser.

7. Your rights

Under the UK GDPR you have the right to:

  • Be informed about how we use your data (this policy).
  • Access the personal data we hold about you.
  • Ask us to correct information that’s inaccurate.
  • Ask us to erase data we no longer need to hold.
  • Restrict or object to certain processing.
  • Where applicable, receive your data in a portable format.
  • Withdraw consent at any time, for any processing based on consent.

To exercise any of these rights, email [email protected]. We aim to respond within one calendar month.

8. Complaints

We hope you’ll come to us first if something feels wrong. If you’re not satisfied with our response you can complain to the Information Commissioner’s Office:

9. Changes to this policy
